Not-for-profit Redesign Web Design
Wide Bay Volunteers

Wide Bay Volunteers came to us to redesign an ageing site that hadn’t been updated in years — as an organisation that relies entirely on volunteer staff, it needed to be genuinely easy for non-technical people to keep current. We designed a new logo and colour scheme, and made sure the new site was properly indexed and search-friendly. The manager was initially reluctant to change the long-standing logo, but adopted it across all of the organisation’s promotional material once he saw the finished result.

Underneath the redesign sat a genuine volunteer-management platform: a private social networking site where volunteers could connect with each other, a dedicated volunteer management system to coordinate rosters and roles, and a booking system for signing up to shifts and events. A custom CRM tracked volunteers and supporters, an asset management system kept the organisation’s equipment accounted for, and a bulk marketing system let the team reach the whole volunteer base at once — all running on a fully responsive WordPress build the volunteers could genuinely manage themselves.

WHAT WE BUILT

Built to be run by volunteers

Everything here had to be manageable by people giving up their spare time, not by an IT department.

  • Private Social Networking Site

Volunteers had a private space to connect with each other and keep up with what was happening, without any of it spilling onto public social media. People who might only cross paths on the job had a way to feel part of the same organisation.

  • Volunteer Management System

Rosters and roles sat in one system the whole team could see. It was clear who was available, who was doing what, and where the gaps were before they turned into a problem.

  • Booking System

Volunteers could put their hand up for a shift or an event themselves, online, whenever it suited them. Less ringing around for the coordinators, and less chasing to fill a roster.

  • Custom CRM

Volunteers and supporters were tracked in the same place, with their history attached. When the organisation needed help, it knew who to ask and what they'd done before.

  • Asset Management

The organisation's equipment was recorded and accounted for: what they had, where it was, and who had it last. On a volunteer budget, not losing things matters.

  • Bulk Marketing System

One message could reach the entire volunteer base at once. Calls for help, event reminders and updates landed with everyone on the same day.

  • Contact Forms

New volunteers and members of the public had a simple way to get in touch, and their enquiries went somewhere the team would actually see them.

  • WordPress

Staff with no technical background could update the site themselves, which was the whole point of the redesign. It stayed current because keeping it current was easy.

  • Fully Responsive Website

Plenty of volunteers would be checking a roster from a phone rather than a desk, so the whole platform had to work properly on a small screen. It did.
