Clean Spot

Nadja’s brief was simple: a brochure site for her new cleaning business. What we ended up delivering was closer to a small business’s entire operating system.

Clean Spot launched as a fully custom, mobile-responsive WordPress build — but the real engineering sat underneath the surface. We designed a bespoke CRM that managed the complete customer lifecycle, from first enquiry and referral through to the ongoing relationship. An automated estimate engine handled the first touch; quotes went out without Nadja lifting a finger; and the moment a customer accepted and paid via PayPal, the job was automatically promoted to an invoice and dropped straight into a job-board-style calendar, appointment details and all. Once the work was finished, a completion checklist went out to the customer automatically, closing the loop without any admin on her end.

It’s the kind of system usually reserved for businesses with a dedicated operations team — built instead for a single-operator cleaning business. Nadja’s original ask was for a brochure website; what she got was an automated invoicing and scheduling engine that saved her countless hours of admin over the following two years, and a business built to run well enough on its own that she was eventually able to sell it on as a going concern.

UNDER THE HOOD

How the system handled the admin

Nadja asked for a brochure site. This is what ran underneath it instead.

  • Custom CRM

Every customer was tracked from their first enquiry or referral onwards. Nadja always knew where each relationship stood, and who had sent new work her way.

  • Automated Estimates and Quotes

The first estimate went out on its own, and quotes followed without Nadja having to sit down and write them. New customers heard back quickly, even while she was out on a job.

  • Payment to Invoice

When a customer accepted and paid through PayPal, the job became an invoice automatically. No chasing payments, and no invoicing session at the end of the week.

  • Job Calendar

Paid jobs dropped straight into a job-board calendar with the appointment details attached. The week's work was laid out in one place, ready to go.

  • Completion Checklist

When a job was done, the customer automatically received a checklist of the work completed. Each job was closed off properly, and the customer could see how thorough it had been.

  • Lead Generation and Custom Forms

The public site was built to bring in enquiries and collect the details the estimate engine needed to do its job.

  • WordPress CMS

The front of the site stayed simple for Nadja to update, while the heavier machinery ran underneath it.
